Special Events

Special events on campus throughout the year require that special accommodations for parking be implemented at times. Such events include, but are not limited to, athletic events, Charter Day, Commencement, Colonial Relays, convocations, construction and parking lot maintenance activities, and move-in and move-out periods.

Conference parking, special events parking and all temporary parking requirements of the university are to be scheduled and approved through Parking Services by the university sponsor and/or host.

The university community will see notices such as e-mail, flyers, published parking advisories and signage so that alternate parking plans can be made. Special event requests must be submitted five (5) business days in advance of the event. Parking Services will in-turn provide at least three (3) days' notice to the university community regarding special events. Individuals should be aware of posted notices and signage because vehicles in violation may be ticketed and are subject to be towed at the owner’s expense.

For exceptional cases event planners also have the option of purchasing time in visitor lots newly installed around campus.  Please email parked@wm.edu for more details if paying with an index or simply pay for time with the app and your visitors license plate using a credit card.

Football Parking Event restrictions
Football Parking

The Stadium lot, Rear Sadler Center lot, Old Dominion lot, Camm Lot, Yates-Randolph lot, James Blair lot and spaces on James Blair Drive, the Compton Lot, the Kaplan Arena lot, Rear GGV lot, Harrison Ave, the Laycock Center Lot, and the designated and signed spaces on College Terrace, Bright St, and Dawson Circle must be vacated no later than 7:00 AM on the Saturdays of home football games. Students with approved exceptions issued Restricted Use Decals are not required to move their vehicles from the Kaplan Arena lots.

Brooks Street around Kaplan Arena, the Yates/Randolph lot, the Compton lot, and the Commons lot must be vacated two hours prior to the start of all home basketball games. Vehicles in violation may be ticketed and/or towed at the owner’s expense. Non affiliated guests may park in the Kaplan Arena lot and use the Passport Pay-by-phone system to initiate a parking session for the duration of their stay (hourly rates apply)

Homecoming (Oct), W&M Charter Day (Feb), Colonial Relays (Apr), Commencement Ceremonies (May), Neighboring County HS graduations (June), BOV Sessions (Sep, Nov, Feb, and Apr). Signs will be posted to designate the affected areas. Vehicles in violation may be towed at owner’s expense.

In general Special Events may require entire lots or just a few reserved spaces. When reserving spaces we make every effort not to displace faculty, staff, and students during the normal academic sessions. Passport zones and metered spaces are used instead to the maximum extent possible. However, depending on the event we may have to take non-metered spaces. In such cases, we apologize for any inconvenience and ask for your cooperation in following the designated parking regulations in place for that event.

Fees

For special events or programs requiring additional support from parking staff such as reserved spaces, lot and traffic management, signage, security and enforcement, additional fees will be assessed regardless of the day of the week the event is held. Please work with William & Mary Conference & Event Services to coordinate your event.

The following fees are in place for those planning an event involving on-campus parking. Special Event fees are assessed dependent on the requirements of the event, lead time and ability to support.
  • Signage = set of 1-5 single location = $35, additional signs = $7 each.
  • Daily space rates (reserved Non-affiliated) = $14 per day, $8.50 evening only, $6 weekends
  • Daily space rates (Internal Affiliated) = $6 per day, $3 evening only, $5 weekends
  • Passport Zone spaces = $2.50/hr per space
  • Metered Spaces = $1.50/hr per space  
  • Lot attendants = $18/hr regular time, $27/hr overtime, $36/hr holidays
  • Lot supervisor = $24/hr regular time, $36/hr overtime, $48/hr holidays
  • Barricades = $26 per set
  • Barrels = $6 each
  • Cones = $1 each
