Paid Time Off (PTO)

The leave year for hourly (non-temporary) employees runs January 16 - January 15. Please be aware that the leave year is not the same as the Affordable Care Act (ACA) year, which runs May 1 to April 30.

Eligibility for Paid Time Off (PTO) for the upcoming leave year is determined as of January 1 of each year. It will also be determined as of July 1 for those hourly employees who were hired after January 1 of the prior year. To be eligible for PTO, hourly employees must have:

  • completed one year of continuous hourly service, and
  • worked at least 1,000 hours during the previous 12 months. 

PTO may not be carried over from one leave year to the next.  Upon leaving employment from the university, the employee will not be eligible to receive payment for any remaining leave balances.

Employees who meet the eligibility criteria on January 1 will be awarded the number of hours indicated below based on their continuous years of hourly service. These hours will be available for use in the pay period starting January 16. The employee and supervisor are both notified.

Employees who do not meet the criteria on January 1, but who meet it on July 1 following their first 12 months of employment, will be awarded hours on a pro rata basis. These hours will be available for use in the pay period starting July 16.

Holiday Leave

Eligibility for holiday pay follows the same rules as those for PTO.  As of January 1 of each year (or July 1 for those hired after January 1 of the prior year), employees must have completed one year of continuous hourly service and have worked 1,000 hours during the previous 12 months.

Employees who meet the eligibility criteria on January 1 will be eligible on January 16 for five holidays within the leave year. This equates to 30 hours of leave time.

Employees who meet the eligibility criteria on July 1 will be eligible on July 16 for 15 hours of holiday leave time.

In order to be eligible for paid leave for a given holiday, an hourly employee must have worked or taken approved Paid Time Off on the business days immediately before and after the holiday. "Business day" means a day on which the university is open for business. 

Family Medical Leave Act (FMLA)

The Family Medical Leave Act (FMLA) (pdf) is a law entitling eligible employees to take unpaid leave in certain situations where the employee, or a member of the employee’s immediate family, suffers a qualifying injury or illness. An eligible employee is an employee who has been employed for at least one year, and who has worked 1,250 hours within the previous 12-month period. The required 1,250 hours do not have to be worked during consecutive months. The hours of work requirement applies to the 12 months immediately preceding the start of leave date.
