Funding is available for:

Publication costs for W&M undergraduate students who are first authors on a peer-reviewed research publication (journal article, book chapter, etc) based on their own original research idea
Supporting a new or existing student-led journal, website, or print/digital publication.

Creative Research Dissemination Grant

Creative Research dissemination grant Funding is available for the sharing of student research results through creative avenues, including but not limited to:

exhibitions or artistic productions
websites or podcasts
community events.

Grant Applications

Funding will be provided as a one-time grant.
Students will submit a budget detailing all their needs for funding; however, the actual amount of funding disbursed may be less depending on the number of applicants and available funding.
Students must have already sought funding from their home department/program for the publication or dissemination expenses listed on the application. They must disclose any outside funding sources on their application.

Current W&M undergraduates graduating no earlier than May of the current academic year are eligible to apply.
To be eligible for consideration, the work being disseminated must be academic research mentored by a faculty member at W&M or another academic or research institution.
Undergraduate Research Publication Grant
- To be eligible for consideration, articles, publications and journals must be peer-reviewed and research-based. The research must be based on an idea that originated with the student and is separate from the faculty mentor’s primary research area. Faculty research publication costs may be supported through the faculty member’s department, school, or college.
- For a student who is credited as a first author on a research publication, the following expenses may be eligible:
  - Submission fees
  - Image copyright fees
  - Chart/graph commission costs
  - Other expenses will be considered on a case-by-case basis
- For W&M journal support, the following expenses may be eligible:
  - Printing costs
  - Image copyright fees
  - Promotional costs
  - Digital design/platform fees
  - Other expenses will be considered on a case-by-case basis
  - This list is not an all-inclusive one. Other items may be funded if sufficiently justified.
Creative Research Dissemination Grant
- Eligible expenses may include equipment, software, printing costs, venue costs, stipends, and other materials not already supplied by departments, Information Technology, W&M Libraries, or other campus sources.
- Please note that personal devices for students (iPads, photography equipment, etc.) will not be funded.

Applications will be reviewed on a rolling basis until the April 1st deadline or all funding is expended. Decisions to approve or decline funding will be communicated within a few weeks of the application’s submission. See “Next Steps” below for information about payment disbursal.

Your abstract will be read by a multi-disciplinary audience; it should avoid jargon and explain any technical terms. Make sure the abstract addresses:
- the context/background of this research
- the problem or research question
- the strategy/methodology that used to answer this question
- the significance of the research
Describe the proposed method of dissemination. Why is this medium important to share your research results? Who is the intended audience and why? (500 word max)
Describe how the Charles Center funding will be used to support this dissemination method. Explain why this funding is not currently available through the sponsoring department or program. (500 word max)
Budget, including funding already received from other sources or that you are waiting to hear back about from other sources
Documentation of expenses such as screenshots, invoices, estimates, etc (upload)
Verification form completed by faculty advisor (W&M or external) confirming that they support this journal and that your requested expenses are reasonable

If you are notified that you have been awarded a grant, award letters must be signed and returned to the Charles Center by the deadline posted in the letter.
Credit the Charles Center for funding according to further instructions provided.
Grant the Charles Center permission to publicly feature information about you, your likeness, and your research work unless you contact us for an exception.
Provide confirmation of the dissemination described in your application as requested.
Send the Charles Center a copy of the work when possible (printed journal copy, website link, etc.).

The method through which funds will be disbursed will depend on the nature of the expense.
- Some expenses, such as all journal costs as well as other payments for supplies that can only be ordered by an academic department/program, will be ordered by the department on your behalf in collaboration with the Charles Center to provide the necessary funding. All such expenses must be incurred by no later than May 1st of the current academic year.
- Funds for all other expenses will be deposited directly into your Student Account. It may take up to several weeks before they are transferred; please sign into Banner to check their availability. Please see the Financial Information section below for more details.

By applying for this award, you give consent for the Charles Center to review your financial aid package through the Financial Aid Office. If you are receiving financial aid that has already assisted with your full financial need, accepting this award could result in a reduction of your future financial aid. If you have any questions, we recommend you contact the Financial Aid Office to understand the impact this award may have on your aid package.

If your student account is not paid in full by the time the disbursement occurs, any amount owed to the College may be deducted from your check; you may then request a refund of the balance. To do so, you will need to request a Student Account Refund (see for this webpage for details). To expedite the processing of this refund, please sign up for direct deposit by visiting the Bursar website at Refunds | William & Mary (wm.edu)

Non-Resident Aliens: Federal regulation mandates that payments made to a Non-Resident Alien be analyzed for tax compliance and this process can take up to an additional 30 days for the award to be eligible for a refund. Non-Resident Alien students will be contacted via email with a login and password information the Sprintax Calculus system. This email may come from noreply@sprintax.com. The Payroll Office performs an analysis of the NRA information provided to identify whether or not the NRA qualifies for a tax treaty benefit. If you do not receive an email, please contact the Payroll Office directly at 757-221-2848.
All other students: Note that this award may be subject to both federal and Virginia state taxes and/or may affect your tax liability. Click here for a letter regarding general treatment of scholarships and fellowships for tax purposes. Contact your tax adviser for possible implications; Charles Center staff members do not give tax advice.
