Verifications

The University Registrar's Office provides official verification of a student's record at the university. The most common verifications are enrollment—certify that an individual is or was a student during a particular period—and degree—confirm that an individual received a degree. We also provide other types of verification and most require the written consent of the student/alum in order to comply with FERPA and protect the confidentiality of a student's record.

Degree Verification

The National Student Clearinghouse is William & Mary's agent for providing degree verification.

IMPORTANT: Social Security numbers must be provided on all forms to be verified.

When writing, faxing, or emailing, please include your:

  • Name
  • Current address
  • Dates of attendance at W&M
  • Date of graduation (if applicable)
  • Degree received

Often, a company or agency will send a form to be completed and certified by the Office of the University Registrar. If the certification includes a specific form, please send the form along with your request.

Graduate students

Any address or date of graduation changes are responsible for notifying their lending institutions.

Terms prior to fall 1985

Degree verifications for terms prior to fall 1985 are provided by the National Student Clearinghouse and verified for the Clearinghouse by the Office of the University Registrar.

Enrollment Verification

The Office of the University Registrar routinely certifies students' enrollment to a variety of outside agencies. Students often need official verification of their enrollment status sent to various agencies and organizations, to include:

  • Insurance companies for students applying for family, life, and auto policy discounts
  • Automobile dealers for graduates seeking auto loan discounts
  • Employers for students seeking jobs
  • Credit card companies for students applying for credit
  • Pension fund companies for students applying for survivor educational benefits
  • U.S. Veterans Affairs (VA) for student veterans applying for educational benefits
  • Financial aid lenders and loan guarantors, via the National Student Loan Clearinghouse

Students and Former Students: Order Online Now

Using your W&M Username and password, current students and alumni may obtain free enrollment verifications online, twenty-four (24) hours per day through the National Student Clearinghouse:

  • Enrollment Verification
    • This is a basic enrollment verification for current and past semesters.
      • Will not appear on university letterhead
      • May not include pre-registration (future) information
    • If you need specific information as noted above, please do not obtain the free enrollment verification online. Instead, please submit the Enrollment Verification Request Form (docusign). If you do not have an active W&M username and password to complete the online enrollment verification request, please submit the Enrollment Verification Request Form (pdf).
  • Pre-registration/Advanced Registration
    • Students needing verification of enrollment prior to the beginning of the semester may print a copy of their Advanced Registration Certificate to provide to a requestor. Advanced registration certificates include coursework for which a student is registered and are provided as a service to students before an official enrollment verification can be generated. Be advised, loan servicers and other organizations may not accept an Advanced Registration Certificate.
  • View all enrollment information filed for you with the Clearinghouse
  • View the student loan deferment notifications that the Clearinghouse has provided to your loan holders (lenders and guarantors)
  • View the proof(s) of enrollment that the Clearinghouse has provided to your health insurers and other providers of student services or products
  • Order or track a transcript (a fee of seven dollars [U.S. $7.00] is charged for each official transcript requested)

Note: To protect the privacy of your W&M student record, please be sure to properly log off and close the web browser after obtaining your enrollment verification certificate via this on-line service.

Requests with Attachments

Current students and alumni (2007 to present) may obtain a verification of enrollment by submitting the Enrollment Verification Request Form (docusign). Often, a company or agency will send a form to be completed and certified by the Registrar. If the certification includes a specific form, please upload the form along with your request. If you do not have an active W&M username and password to complete the online enrollment verification request, please submit the Enrollment Verification Request Form (pdf).

Need a "Certified" Enrollment Verification?

At the College, we provide two primary types of "certified" verifications. One is a notarized copy of a document–typically an official transcript. The other, and most common request, is for use with agencies outside the United States. In this case, you need to request apostille certification of the document

This latter format requires notarization and verification at the local, and state levels. In rare circumstances, it also may require federal certification—U.S. State Department. If you have any questions about the type of verification you may need, please contact the agency making the request to ensure the proper verification is provided.

Processing times

Requests made on one business day will be available next business day after 12 p.m. If you wish to expedite your request, there is a $25.00 rush processing fee.
