Promoting your event can go beyond a calendar invite! On this page, learn how to share your event with physical media like hanging flyers, tabling and printing materials.

Tabling

Tabling

Tabling at the Sadler Center allows for more personal interaction with the W&M Community. Departments must register with Student Unions & Engagement in order to table.

Request to Table

  • Tables both on the Sadler Terrace and in the Sadler Atrium can be reserved for up to one week per event. Requests must be made at least three business days in advance.
  • Tabling is allowed Monday-Sunday during open building hours.

While Tabling

  • At least one member of the sponsoring group must be present for the duration of the
    reservation.
  • Amplified sound is not permitted while tabling. Music may be played on devices
    (computers/phones) so long as no external, portable, or Bluetooth speakers are used.
  • No solicitation, forced handouts, or other methods of enticement (calling out to people, etc.)
    can be used. Passersby should be permitted to make their own decision on if and how they
    engage with those tabling.

Other

  • In the event of rain or severe weather, all outside tabling reservations may be moved inside the Sadler Center by SUE staff as space permits.
  • If tabling for multiple days, items can be stored at the Information Desk as space permits. 
    • All stored materials must fit inside closed bins (bins measure approximately 13" x 11" x
      11").
    • Perishable items are not accepted.
    • Any money must be placed in a sealed, labeled envelope and signed in to the safe, money can only be retrieved when professional staff is present (typically during business hours).

Printing

Printing

Learn what your event needs, which vendor to work with and what information to keep in mind when printing. 

Everyday Printing Needs

The W&M Print Shop, powered by Hackworth, is the vendor for all regular printing items. This includes all but is not limited to:

  • Postcards
  • Bookmarks
  • Flyers
  • Handouts
  • Posters
  • Yard signs

When you are ready to begin your project, email printshop@wm.edu and attach the design. Providing some details will be helpful:

  • Weight of material
  • Type of material
  • Dimensions
  • Glossy versus matte
  • Double-sided versus single-sided
  • Sliced versus whole
  • Mounted posters (hard backing) versus unmounted (paper poster)
  • Foam core posters (less durable) versus coroplast (more durable)

Simpler printing like flyers or handouts will require less lead time. Bigger projects such as posters or yard signs should be submitted at least seven business days in advance. 

Large-Scale Projects

Professional Printing Center is the provider for more formal needs such as street banners or programming booklets.

Any materials for community-wide use that requires high quality designs should be created in partnership with University Web & Design
