08.12.25: Changes to IACUC Program

Updates to: Medical Surveillance and Evaluation program, protocol attachments, and incident signage.

In response to the triennial NIH OLAW Assurance review, there have been updates to the IACUC Program and Laboratory Animal Occupational Health Program that now requires: 

Medical Surveillance and Evaluation

All personnel with frequent or substantial contact must go through medical surveillance and evaluation. This includes both W&M and VIMS research projects. "Frequent or substantial contact" is defined within this guidance. This policy includes students, staff, and faculty who meet the definition of frequent and substantial contact.  This requirement will be included within the SPARCS protocol form within the week. 
  • To initiate the medical surveillance/evaluation process: 
    • W&M Researchers: The personnel's supervisor should email safety@wm.edu with the person's name and email address. 
    • VIMS Researchers: The personnel's supervisor should email Eric Fidler and safety@vims.edu with the person's name and email address. 
  • All external research visitors and visiting faculty (non-W&M employees) who will meet the definition of "frequent and substantial contact" must have evidence of medical surveillance completed. If a visiting faculty member will be conducting work in the lab, the W&M PI must verify that the researcher has received medical clearance from their home institution to work in an animal lab.

Required Attachments to Protocol

The IACUC protocols must now have the following documents attached. This requirement will be included within the SPARCS protocol form within the week. 
  1. Daily Care and Use Log (For use in animal labs only; PIs can use the example templates or attach your own template.) 

Incident Signage

In all animal care facilities, the attached document should be posted so that personnel/others know how to report accidents/incidents. Please print and post the “Incident Procedures Signage” to all lab spaces.

All above changes should be implemented by the annual/continuing review due date of your IACUC protocol.
