Ad Hoc Room Scheduling
The University Registrar schedules classrooms for academic, course-related activities. The SUE Scheduling Office, located in the Sadler Center, handles room reservations not tied to a specific course.
How to Schedule Events for a Specific Class
To reserve a classroom for course-related academic activity (such as a film screening, review session or make-up exam), please have your department or program administrator submit a request through Virtual EMS using the Academic Event Request reservation template. A CRN (course reference number) directly tied to the academic event is required for each request.
Examples of academic events include:
- Evening Film Screening for RUSN 308 02
- Review Session for MATH 112 01
- Make-up Test for ANTH 203 01

Important: You will not receive an email confirmation when your event is approved by the University Registrar. To check the status, log into EMS and look under My Events > Bookings for the status Academic Web Confirmed. Requests are typically confirmed within a few business days, though additional follow-up may extend the timeline. Reservations must be submitted at least one business day prior to the event to allow sufficient time for review and approval.

Please note: While the University Registrar schedules select general purpose classrooms on the main campus, our office does not maintain these spaces. We approve academic use of the rooms, but if you encounter an issue, please reach out to the appropriate office directly:
- For missing or misarranged furniture, contact Facilities Management.
- For technology issues, contact Classroom Support in IT.
- For access to a locked room, contact Campus Police.
How to Schedule Events Open to the Campus Community
These are events not tied to a specific class, such as faculty, staff, or student meetings, lectures, interviews, non-class related events, etc. Rooms for these activities must be reserved through the SUE Scheduling Office. Requests for space in the Wren Building must be made through Wren Events.
