CLSS Roles

CLSS access is limited to users responsible for scheduling and approving classes for a Scheduling Unit (SU). A SU refers to an academic department, program or school and may include multiple subjects. While all users can view all schedules in CLSS; editing is restricted to the SU(s) you are assigned to.

Each Scheduling Unit must have at least one Scheduler and one ApproverSome users may hold a Dual role, allowing them to perform both Scheduler and Approver functions. All Scheduling Units within the same School (or College) also have a School Approver.

CLSS SCHEDULING CONTACTS

Scheduler 

  • Enters section details in CLSS and submits for approval.
  • After entering in the schedule build information, reviews any errors or warnings flagged during validation. Initiates the Schedule Build Workflow
  • May be supported by a backup Scheduler, if assigned by the SU.
  • Note: In CLSS workflows, Schedulers are identified as DUS (Department Unit Scheduler) with the SU code. For example, the Scheduler for Biology is listed as BIOL DUS.

Approver

  • Reviews and approves the SU’s schedule before it is sent to Banner during the Schedule Build Phase.
  • Typically held by a Chair, Director, or Department Head.
  • Can roll back the schedule to the Scheduler if revisions are needed during the initial schedule build.
  • Responsible for ensuring that the Scheduling Unit submits a complete and accurate schedule, barring any unforeseen changes.
  • Note: In CLSS workflows, Approvers are labeled as Chair with the SU code, even if the Approver holds another role in the SU, like a director. For example, the Approver for Biology is listed as BIOL Chair. 

School Approver 

  • Conducts a school-wide review after all SUs in the School (or College) have submitted their schedules. (CLSS locked to SU edits at this point.) 
  • May provide direct feedback to SUs, who will take action once CLSS reopens.
  • Alternatively, may notify UReg to document issues via:
    • Internal UReg Comments
    • Use of Section attributes (e.g., REV)
  • Reviews and approves (or rolls back) workflow-submitted section-level changes that impact student enrollment such as changes to meeting time, credits, grade mode, delivery mode or meeting pattern.
  • Note: In CLSS workflows, school- or college-level approvers are labeled as School Approvers. For example, the approver for the College of Arts & Sciences is listed as A School Approver.  

UReg Approver (University Registrar)

  • Performs a high-level check of Scheduling Units' submissions in CLSS to check for Banner data readiness before pushing the schedule to Banner.
  • Performs the final review of workflow-submitted section-level changes.
  • Ensures compliance with university-wide scheduling policies.
  • Assigns general purpose classrooms.
  • Manages CLSS training and user access.
