Personal Training Policies

Registration

To get started with a personal trainer, register online or visit the front desk of the Bee McLeod Recreation Center. Once registered, your trainer will contact you by email or phone within 2-3 business days.

Session Payment

Payments are due for sessions or packages by the end of the first session. Your Trainer must be present when the payment is provided.

Payments may be made by Credit Card, W&M Express, cash, or check made payable to W&M Campus Recreation.

Late & No-Show Policy

  • Trainers will wait for their client's arrival for no more than 10 minutes after the scheduled start time of a session. 
  • Sessions that start late due to a tardy client arrival will still end at their scheduled time
  • Failure to arrive within 10 minutes of the scheduled start time is considered a No-Show.
    • A No-Show forfeits the session, and the client remains responsible for payment of the session.

For Partner Training, both clients must be present at the scheduled start of the session. Partner Sessions will not begin until both clients are present. If one client is late, both clients will be considered late. 

Session Cancellation

Proper Session Cancellation: Clients should contact their Trainer directly by phone or email to cancel their session. The session will be rescheduled, provided that sufficient advanced notice is given.

Late Cancellation: Clients who cancel less than one hour before the scheduled start of a session forfeit the session and remain responsible for payment.

Package Expiration

All sessions expire within 6 months of the purchase date.

Refund Policy

Sales are final, no refunds will be given.

Arriving for your Fitness Assessment

  • Wear comfortable, loose-fitting clothing (such as shorts and a t-shirt) suitable for exercising and closed-toe athletic shoes. 
  • Drink plenty of fluids throughout the 24 hours before the test to ensure good hydration.
  • Refrain from ingesting food, alcohol, caffeine, or tobacco products within three hours before testing.
  • Be well-rested for the assessment, avoiding significant exertion or exercise on the day of the assessment.
  • Inform your trainer of any medications you are taking that may affect your heart rate.
