Tools & Systems

University Human Resources utilizes many tools and online systems to conduct business. Below, you will find a curated list to use as a reference, whether you are looking to update your health insurance plan, hire a new employee, search for training events, or extract data for a report.

Note: Use Banner/Qlik for HCM data from January 1, 2005 to June 9, 2025. HCM data on or after June 10, 2025 will be in Workday.

These are the tools and systems that employees, hiring officials, supervisors, and managers use throughout their career path at the university.

System Description
Banner Self-Service

Banner Self-Service is the portal for students to make changes on their own to certain Banner modules. Employee personal information changes must be made in Workday.

Banner Admin Banner Admin is the portal to access Banner as the university's enterprise resource planning system. Read-only for HR and Payroll modules.
Clearance Portal A portal for supervisors or managers to submit a clearance online for a departing employee.
Cornerstone Cornerstone is the university's learning and performance management system. Workday will replace Cornerstone in 2026 for Learning and 2027 for Performance Management.
E-Verify E-Verify is an online system for the university to electronically confirm the employment eligibility of their employees.
PeopleAdmin PeopleAdmin was the university's position management and applicant tracking system for updating job descriptions, requesting job classification reviews, and hiring new employees. Workday replaced PeopleAdmin as part of go-live in 2025.
Retirement@Work platform The Retirement@Work platform is available to employees who participate in the Optional Retirement Plan (ORP), or who are eligible to participate in the any of the 403(b) savings plans or associated cash match plan. The platform allows eligible employees to enroll, manage, and research investments.
Qlik Qlik was the university's data discovery tool to combine, analyze, and visualize institutional data. Before the Workday implementation, Qlik (among other reporting tools) was used to view data from Banner. Now that we're in Workday, there are new reports that are more robust and accessible.
TrueScreen TrueScreen is an online system that processes criminal history background checks for applicants considered as finalists for a non-sensitive position.

System Description
Cardinal Cardinal is the Commonwealth's an online system for managing health insurance and flexible spending accounts. Employees use Cardinal to enroll or change health insurance and flexible spending elections.
Department of Human Resource Management (DHRM) DHRM is the central human resource agency for the Commonwealth of Virginia.
Virginia Retirement System (VRS) Virginia Retirement System (VRS) is an independent state agency that delivers retirement and other benefits to covered Virginia employees.
VRS DCP - Virginia Retirement Systems Defined Contribution Plans VRS offers defined contribution savings plans to help members save for the future. Employees use the VRS DCP website to view their VRS Hybrid DCP account(s) and/ or 457(b) account and make contribution election changes.
myVRS myVRS is the VRS online system to securely manage and update VRS benefits, including naming a beneficiary or purchasing prior service.
