Content Review Guide

This Content Review Guide is designed to help you review and improve your content, ensuring your website is organized, accurate and easy for users to navigate.

What Content Needs Cleaning Up?

You will need to make decisions that are appropriate for your content and audiences, but please consider this a time for robust action and a dramatic reduction in your content. We offer the following guidance to get you started:

  • Must remove or update inaccurate content – expired announcements, old processes, COVID-19 guidance, etc. Pay particular attention to content created more than a year or two ago, as it may now appear dated or irrelevant.
  • Must review all storage folders and only keep files actively in use – documents, images, widgets, etc.
  • Must delete all archival-like content and store it offline in OneDrive, Box, etc., if an archive is needed.
  • Must correct incorrect uses of the university's name.
  • Could review all grammar and punctuation.
  • Could complete any needed accessibility enhancements.

News Stories: Additional guidance will be provided regarding the retention of archival news stories and borrowed news stories. Assets in "news" folders have been set with an extended review date for spring 2026.

Keep / Fix / Delete

When reviewing your content, it's helpful to have a clear framework. We recommend a simple Keep / Fix / Delete approach. Remember to review your page menus and right column content like listboxes and widgets, not just your main content.

Keep

"Keep" content must be clear, accurate and useful. It helps users find information quickly and follows university branding standards. If you're unsure about a webpage, analytics can help guide your decision.

Fix

"Fix" content has value but needs improvement before it's ready to keep.

When to choose Fix:

  • Outdated or confusing information needs updating. 
  • Typos, broken links or formatting issues need correcting.
  • Accessibility needs improving.

Once you make the necessary edits, reassess to ensure it now meets the "Keep" standards.

Delete

"Delete" content is no longer useful, relevant or accurate and should be removed.

When to choose Delete:

  • Information is outdated, misleading, redundant or irrelevant.
  • Content doesn't align with brand and/or messaging guidelines.

Mark Assets You Keep as Reviewed

As you review content and complete your edits to ensure accuracy and relevance, be sure to mark them as reviewed in Cascade by December 15. Not sure where to find the review date when editing the page or asset?

  1. Go to the asset in Cascade
  2. Click Details in the top right corner
  3. Under Page Info, click 'Show/hide additional metadata fields'
  4. The Review Date & Time will appear

Tips for Reviewing Pages

How to Review Documents & Images

  1. Select the document or image in Cascade.
  2. Select the "...More" menu.
  3. Select Relationships.
  4. If there are no relationships:
    1. Select the "...More" menu
    2. Delete the file.
  5. If there are relationships
    1. Ask: Is this a good, up-to-date and accurate file, and is it OK that it is in use?
      1. If yes, leave the file where it is.
      2. If no, fix it or delete it.

External Usage Considerations

Files with no internal relationships might still be in use on external websites/platforms, emails or recent social media posts. Consider this before deciding whether to delete them.

Reviewing Widgets, Rows & Listboxes Storage Folders

Check the relationships for each widget, row or listbox file to see which pages include it.

  • If it isn't included anywhere and won’t be needed seasonally, delete it. Note: To delete a widget or listbox, you'll delete the storage folder that contains the Widget or Listbox file.
  • If it is included on one or more pages, review the content to ensure it is accurate and relevant.

Reviewing Redirects Storage Folders

If your site has a folder called redirects or _redirects, you must evaluate how the redirects are being used and review accordingly. Some common uses include providing “Build Your Own” vanity URL functionality, serving as redirects for right column Related Links or acting as final destination redirects to external vanity URLs.
