Frequently Asked Questions

  • I forgot to enter my time before the deadline and now timesheets are closed - what do I do?
Timesheets are closed during payroll processing, and will reopen on payday. You may retroactively enter your time up to 30 days after the submission deadline. Any retroactive time submissions or changes will be reflected on the next paycheck.
  • I have unreported hours from over a month ago that I never submitted - can I still submit them?

Late timesheet submissions over 30 days will need to be entered manually; please reach out to [[payofc]] for additional instructions.

  • I'm a former employee who needs a copy of my last pay stub(s) - what do I do?

You will need to submit a Request for Duplicate Earnings Statement. Please be advised the payroll office can only provide up to your last six pay stubs. Due to your pay stub having unredacted personal information, we will provide a secure Box link to access your requested document(s).

  • I'm a former employee who needs a copy of my W-2 - what do I do?

You will need to submit a Request for Duplicate W-2. Please be advised the current year's W-2 will not be generated or mailed until January. If you can no longer access Workday and need to update your address to receive your W-2, please contact [[askhr]]. The payroll department only retains the last 4 years of W-2 information. Due to your W-2 having unredacted personal information, we will provide a secure Box link to access your requested document(s).

  • I have not received a payroll check I was expecting - what are the next steps should I take?

Please wait 15 days after the check's date to contact payroll. This time is to allow any checks lost in the mail to be returned to the payroll offices. If the check has not been delivered to you or returned to payroll within that timeframe, please reach out to [[payofc]] and we will begin the process of reissuing the check. At this time, once a check has been created we cannot change the payment type to direct deposit.

  • How do I add, make changes, or delete my direct deposit information?

On Workday Desktop: navigate to 'View Profile' by selecting your profile picture or initials in the upper right corner. From this summary page, select 'Pay' in the left column, which will bring you to an overview of your pay stubs. Along the header on this page, you should see a 'Payment Elections' option. You may add, change, or delete direct deposit information from this tab. Please be aware that during the payroll processing period, any changes to your payment election information will not go into effect until the next pay period.

  • I have questions about how to fill out my tax withholding elections - can payroll answer my questions?

The payroll department can provide information about the W-4 and VA-4 forms, however the payroll department cannot give specific tax advice. Any information provided by the payroll department can only be for payroll clarification purposes. For specific guidance on your personal tax brackets, filing, or withholding, we recommend consulting a certified tax professional or using the IRS Withholding Estimator.
