Helpful resources for new W&M staff

Whether you're on campus or working remotely, you're likely to be using many of the same tools and services. Here are some of the essentials for working at W&M, and where to get help.

Here are some of the technology-related things that can help you get started.

Account

Have you activated your William & Mary account yet? If not, activate your W&M Username now. You will need to create a secure, personalized password.

While you are there, you can set up a recovery email address in case you ever forget your password.

Find more information about Account Activation here and take a look at the Provided Services that come with your account.

Benefits & Pay Info (Banner)

You can view your pay and benefits information through Banner Self-Service (aka Banner).  This is where you can also add emergency contact information. To access Banner:

  • Go to myW&M
  • Click on the Banner icon
  • Sign in with your username and password

Click on the Employee tab to access tax information, view benefits, leave balances, and pay stubs.  

Please note, for security purposes, certain Banner information can only be accessed while on campus, such as Direct Deposit information and W2s.  If you need access from off-campus, please contact the Technology Support Center (TSC) for assistance.  

Computer, Laptop, and other Equipment Orders

Looking for a computer?  Almost all computers and laptops on campus are part of a leasing program called the Equipment Service Program (ESP).  With ESP, laptops are replaced every three years, and computers are replaced every four years. 

Orders are placed through a system called Request IT.  Generally, there is a person or office in each department that coordinates the ordering process (like an Administrative Assistant or a Business Office). Please refer to them for questions about orders.

Almost all technology equipment purchases (including computers and laptops) must go through the IT Procurement Process.

The Computer Service Agreement spells out your responsibilities and outlines support services. 

Device Authentication

Once you start at W&M, you will need to authenticate your devices to the William & Mary network at connect.wm.edu.  Just open a web browser and you will be routed to the authentication page.  Follow the prompts to log in with your W&M credentials.

Email - Office 365 Outlook 

Once your account has been established, you will be able to access your Office 365 Outlook email account. 

To access email via the web, use the Outlook link on myW&M or type outlook.wm.edu in your browser.  Sign in with your W&M Username and password.  

Find information on how to download an Outlook client or set-up Outlook on your mobile device in the Office 365 email webpage.

Be aware of phishing and ransomware that may come through your email inbox. If anything does happen, the first thing you should do is reset your password.  Also forward the malicious email to [[abuse]] to alert our IT security team.

Internet Access

With an Ethernet cord, you can plug into the wired network through any network jack.  This is recommended for any desktop or laptop computer, as the wired network is generally faster.

For Wi-Fi, use the eduroam network for a fast and secure wireless connection.  Eduroam also provides secure Wi-Fi access while traveling to other participating eduroam institutions. Connect to eduroam at connect.wm.edu.

myW&M 

Take some time to browse through myW&M.  Keep up to date with what's happening at W&M and access key services like Banner, Blackboard, and Outlook email. It is a good page to set as your home page for your web browser. 

Phones

At W&M, your computer is your phone! Campus phone service goes through Microsoft Teams (named "Teams Calls").  It provides a modern telephone experience that offers enhanced usability, robust accessibility, and device flexibility. Use the Teams Calls Get Started page to get up and running with your campus phone.

Check out the Software Distribution Site for all available discounted and licensed software at W&M.

SOFTWARE DISTRIBUTION SITE

Also check-out what Microsoft Office 365 has to offer.  The full suite of O365 web-based applications includes tools like OneNote, Power BI, Teams, and various others which can help you connect with your colleagues and work more efficiently.  

And, for your home computer, Microsoft Office is completely FREE during your time at W&M!!

Banner & Banner Admin

All employees will use Banner (what IT refers to as Banner Self-Service) to access your timesheets, pay and benefits information, and tax forms.  You can access Banner Self-Service from the Banner icon on myW&M.  

Some employees will also use Banner Admin.  This is the administrative portal for Banner.  Training and supervisor approval are needed before access is granted to Banner Admin.  Learn more about Banner Admin.

Blackboard

Blackboard is W&M's academic learning management system. You can access Blackboard directly at blackboard.wm.edu or use the Blackboard icon found on myW&M. You can also access Blackboard on your mobile device.

File Sharing & Storage

W&M has several different storage and file-sharing options available: 

  • Box - Box is a web-based application, with 100GB storage available for faculty and staff.  Box is also the approved system for sharing sensitive data - but you must Secure Box Files and Folders before sending sensitive data! 
  • OneDrive - Included in the Microsoft Office 365 suite of webapps is OneDrive, which offers an unlimited amount of data storage to W&M users.
  • Network Storage Drives - These on-premise storage drives provide both a shared storage space for your department (G: Drive) and 5GB of storage of your own files (H: Drive).  (Business School and VIMS use different letters to name drives.)
Google Workspace (Google Tools)

Google Workspace provides access to a suite of Google tools (primarily used by students). If you are interested in creating a Google Workspace account for yourself, please email [[support]].

Lecture Capture - Panopto

Panopto is an easy-to-use tool for recording presentations and video screen captures that can be easily distributed to others.  

Mobile App 

William & Mary Mobile provides a variety of campus information and services for the university community. Access essential information anywhere, anytime on your mobile device. The Campus Map feature is especially helpful for navigating from one building to another.  Download it today!

Surveys 

Qualtrics provides a flexible and robust platform for designing, distributing, and evaluating survey results. 

For a simple survey tool, you can use Microsoft 365 Forms.  Access Forms by going to office.wm.edu and click on the Forms tile.

Training - Cornerstone & Lynda.com

Cornerstone is W&M administrative learning management system.  Cornerstone hosts various training courses designed specifically for W&M staff members as well as a vast library of trainings from Lynda.com

Access Cornerstone at cornerstone.wm.edu and click on Browse for Trainings. Completed trainings are recorded on a transcript.

Videoconferencing - Zoom

Zoom is an easy-to-use, cloud-based conferencing solution that provides both video and audio conferencing, mobile collaboration, screen sharing capabilities and online meetings.

Virtual Desktops & VPN

Working away from the office?  Here are secure ways to access W&M resources while away from campus.  

  • VDI - The Virtual Desktop Infrastructure (VDI) allows you to log into a virtual desktop with a standard W&M computer image.  It's similar to logging into a lab computer or classroom podium computer.  
  • VPN - The university's Virtual Private Network (GlobalProtect) allows for secure remote access to W&M technology resources.  

For both systems, you must first enroll in the Duo two-factor authentication system

Duo Two-Factor Authentication

Various W&M systems are now employing Duo Two-Factor Authentication, including Banner Admin and Box. 

Duo uses a secondary point of contact (like a cell phone or office phone) to provide an additional level of security and help protect against increasingly sophisticated security threats.

Equipment Theft

Keep technology equipment and devices safe!  

Portable items are especially prone to theft, like phones, laptops, thumbdrives and discs.  Keep these items stored in a locked area, like an office with a lockable door, or a secure desk drawer.  When traveling, keep them with you.

Any device with university data on it (like a phone that receives W&M email) must have an activated lock screen, so that your identity is verified before access is granted.  

If an item containing university data is stolen, contact the W&M Police immediately and then notify the Technology Support Center at [[support]] or 757-221-4357 (1-HELP).

Malicious Mail

Forward any suspicious email to [[abuse]] to alert our IT security team.  This includes messages that are trying get your account credentials (phishing), or messages asking you to open attachments (ransomware). 

Not sure if its dangerous?  Forward it to the Technology Support Center at [[support]] for investigation and/or verification.

If anything does happen, the first thing you should do is reset your password.

Sharing Sensitive Data

Sensitive data (data that is legally protected) must be handled with more caution and care than regular data.

Most importantly, do not email sensitive data!  Email simply is not secure. 

Sensitive data can be stored/shared in W&M's secure network storage drives like the H: Drive (Home Drive) or G: Drive (Group Drive). 

Sensitive data can also be stored/shared in Box, W&M's cloud storage system, if the files and folders are locked-down properly.

System Status and Outages

Stay informed about any current or future system outages.  Go to the IT homepage and check out the System Status box on the right-hand side.

Planned outage announcements are also posted in the W&M Digest, an email that comes out daily to all faculty and staff.  Check it regularly to stay informed of all important announcements at William & Mary.
