Migration to Office 365

What to expect during and after the migration

Did you recieve a notice saying that you are moving to Office 365 tonight?  Here's what you need to know about the upcoming changes.

Recommended: Print this Migration Guide (pdf).  The guide provides need-to-know information about accessing your email account after it cuts over to the new Office 365 system.

Email Downtime

The outage you will experience due to the migration may last several hours.  We can't say exactly when the outage will occur, but we are aiming for the hours between 7:00pm and 8:00am the night that your email box is scheduled to migrate.  The outage may occur the following night instead.

Outlook Clients

Generally, Outlook email clients (aka email on your computer) have had little or no issues with the transition.  The Outlook email client may ask for you to log in with your WMuserid and password once the migration has concluded.  Once logged in, the client interface will be the same as before, with no noticeable changes.

If you are having issues accessing email via the Outlook client, try some troubleshooting steps or contact the Technology Support Center.

Mobile Devices

For a native email integration to your iOS or Android device, review your settings and make sure the new server name is: outlook.office365.com.

We have found that some phones are connecting directly to the new server with minimal disruption. Other phones require more attention.  If this is the case for your phone, try troubleshooting steps or contact the Technology Support Center.

Online Webmail Access (OWA)

Access mail via the web will be different.  You can access online mail the following ways:

  • Go to office.wm.edu, sign in using your WMuserid and password, Click the Mail tile.
  • Go directly to the mail web application using this address: webmail.wm.edu
  • Use the OWA link found on myWM.  A redirect will link you to the new Office 365 mail system.

Expect the online mail to be a bit different in Office 365.  It uses the Outlook Mail web application instead of the stand-alone OWA that we have used in the past.  It will look different, but it should look familiar to you.  The core functionality is the same as always.  We recommend that you do some exploring and find the new options available to you.

MacMail version 10.12 (Sierra) works with Office 365. Instructions for Setting Up MacMail 10.12

Note: In testing we have found that earlier versions of MacMail have problems loading emails and viewing shared Calendars.  If you do not want to upgrade to 10.12, we recommend using the Outlook client or Outlook webmail (webmail.wm.edu) instead.

IMAP Settings

IMAP clients will need to be reconfigured with the following settings:

  • Server name:  outlook.office365.com
  • Port: 993
  • Encryption method: TLS

  • Server name: smtp.office365.com
  • Port number: 587
  • Encryption method: Start TLS

If this does not work, delete the account and readd it using the above settings.

Here are simple troubleshooting solutions that we have found to be effective on both mobile devices and computer clients.

  • If your email account username is currently "campus\wmuserid", try switching the username to your W&M email address (wmuserid@wm.edu).
  • Try closing and reopening the mail application/client multiple times.
  • Delete the stored passwords on your computer/device.
  • Delete the email account and re-add an Exchange account, using outlook.office365.com as the server configuration.  We recommend that you do this only while connected to Wi-Fi to avoid cellular data charges. (Mobile Device Only)
