Air Conditioning Requests

Requesting Air Conditioning as a Disability Accommodation

A request for air conditioning is a request for accommodation due to a disability that can only be processed through Student Accessibility Services (SAS). In order for SAS to make an informed decision about an accommodation, students must register with Student Accessibility Services and provide the requested supporting documentation. The following steps are required in order for your accommodation request to be considered:

  1. If you have not already done so, please submit this specific request through the SAS self-registration process.
  2. Depending on the nature of your condition, please have your health care provider complete one or both of the following forms, whichever is relevant, to confirm your diagnosed condition(s)

                        A.   Health Care Provider Form for medical/physical diagnoses

                        B.    Health Care Provider Form for psychological diagnoses

You will be asked for documentation of up to the last five doctor visits for the disabling condition. Depending on the nature of your condition, information from the last five visits may be necessary. It is important to provide thorough documentation so that an informed assessment can be conducted.

Psychoeducational and neurological evaluation reports are also accepted if relevant.

Your health care provider also may write a letter or provide any other documentation in support of your accommodation request, though this is not required, nor does it guarantee a particular outcome.

Submitting Documentation

Documentation can be submitted via the online self-registration process (if student has materials ready at that time) OR electronic copies can be sent to sas@wm.edu or faxed to 757-221-2538. NOTE: We recommend that you call or email us to confirm receipt of faxes.

Please submit this information to Student Accessibility Services once you have gathered all of the documentation. Disability accommodation decisions are made on a case-by-case basis.  In some circumstances, we may request additional information or provide alternate accommodations. Student Accessibility Services reserves the right to deny accommodations in accordance with the Student Disability Accommodation Policy and Procedure.

Students can appeal this or any other accommodation decision through the Student ADA Grievance and Appeal Procedure.

We do not require an appointment for air conditioning requests; however, if you wish to make an appointment with us to discuss accommodations, you can book an appointment with us by calling us at 757-221-2510 (Option 1) or emailing us at sas@wm.edu.

Please let SAS know if you have any other questions. We are here to help you through this process.
