Center Cost Recovery Rates for W&M Alumni & External Parties

Boardroom

One Classroom Two Classrooms  Full Center, including hallways and lobby

*Recurring Event Discounts: 10% off total for 5 or more recurring same-event rentals reserved at the same time, 20% off for 10 or more.

BOOKING POLICIES

By booking your event in the W&M Washington Center, you agree to adhere to all policies as listed below.

 

  • As tenants in the D.C. Bar building, all gatherings, classes, and events happening in the W&M Washington Center space are subject to building guidelines and visitor policies, including the current vaccination policy.     • Currently, all guests must please download and log into the ReturnSafe app for every visit to the building.
  • While in the W&M Washington Center, please be respectful of employees and other classes/events.
  • Please return the event space to its original setup and cleanliness after use.
  • All guest/attendee first and last names must be provided to Kenzi (kkwhetstone@wm.edu) no less than five (5) business days in advance of your event.
  • If at any point there is an event that involves external parties (non-University of Michigan students/staff), those names must also be provided to Kenzi (kkwhetstone@wm.edu) no less than five (5) business days in advance.
  • If your event involves catering and/or alcohol, please provide that specific information to Kenzi (kkwhetstone@wm.edu) no less than five (5) business days in advance.
  • Under no circumstance are you allowed to sublet or offer to sublet the space.
  • Kitchen use is permitted only for water bottle filling purposes. Please do not help yourself to any food/beverage or supplies in the Center space.
  • Agreeing to this contract means you agree to pay for any damages and charges that occur when you use the space.
    • In case of emergency if no Center staff is present, please contact W&M Washington Center staff in the following order:
      • Kenzi Whetstone, Events Coordinator 609-651-1198
      • Roxane Adler Hickey, Center Director 703-966-8940
    • No access/loitering is allowed in the lobby on the ground floor, or on any other floor. The rooftop and other levels in the building are off-limits.
    • Restrooms are located outside of the W&M Washington Center suite on the opposite side of the elevator bay.
    • We reserve the right to cancel or terminate the agreement at any point if we deem it appropriate that the partner is not in compliance with any of the above terms.
    • The “Rate” is encompassed of the services being provided to you and the time that you use those services, not for the space or reservation of space.
    • For weekend events that take place with a staff member, the staff present will assist with accepting and setting up catering, and other support duties as appropriate.
    • Weekend staffing is not guaranteed, but rather pending staff availability, to be confirmed prior to booking confirmation.
    • Full payment is due 10 business days after the event through our online system

Cancellation Policy

Reservations can be canceled up to thirty (30) business days before the event without penalty. 25% percent of the fee will be charged for cancellations between 21-30 business days before the event, 50% for cancellations 15-20 business days, 75% for cancellations between 5-14 business days, and 100% for cancellations within five business days or less of the event.

All cancellations must be made in writing by emailing Kenzi Whetstone at kkwhetstone@wm.edu.


COVID Protocols

As tenants of the D.C. Bar Building, all events happening in the W&M Washington Center space are subject to building rules and regulations, including the current vaccination policy which can be found at this link.
