Employee Assistance Fund
In order to be considered for financial assistance the employee must provide sufficient information to the Employee Assistance Committee (HACE Treasurer, Chair, plus two members from the General Membership) showing they are experiencing a financial hardship.
All requests for financial assistance must be submitted in writing to the HACE Treasurer and signed by the employee making the request. The Employee Assistance Request Form (pdf) should be used.
All requests for financial assistance will be considered on a case-by-case basis by the HACE Executive Board upon a recommendation from the HACE Employee Assistance Committee (EAC).
Prior to making their recommendation to the HACE Executive Board, the HACE EAC will contact the Office of Human Resources to ascertain that the individual making the request is a College employee in good standing and may also contact the employee's supervisor if the circumstances of the assistance request warrant such an inquiry.
Whenever the HACE EAC receives a request for employee assistance, the employee must agree to the release of his or her name and a brief explanation of the hardship to the College community. At that time, the information will be communicated to the membership as well as the College community and donations will be requested for a period of time to be determined by the HACE Board, but no longer than 30 days.
At the end of the solicitation period, all donations collected will be given to the employee, as well as, if necessary, a modest contribution from the Employee Assistance Fund. This amount will be determined by the HACE Executive Board but should not exceed $50.00, unless extraordinary circumstances are identified and an exception is approved by a vote of a majority of the HACE Board.
The HACE Treasurer will be accountable for the Employee Assistance Fund and will be responsible for receiving written instructions for any donation. Monetary donations received for any other purpose than to be disbursed to an employee in need or added to the Employee Assistance Fund will be addressed by the Board as necessary.
Monetary gifts made from the Employee Assistance Fund will be disbursed to employees in need by means of a HACE check accompanied by written notification (card or letter), determined on a case-by-case basis as deemed appropriate for the situation. This written notification should be signed by the Treasurer, President and/or other Board member, as the situation warrants.
Each year all Employee Assistance recipients will be nominated to receive a holiday food basket from the HACE Special Projects Committee. The HACE Treasurer (EAC Chair) will provide the names of the Employee Assistance recipients to the Special Projects Committee Chair, who, in consultation with the employee's supervisor and/or the Human Resources Office, will determine if the employee desires a basket and will then arrange for the delivery of the basket. Since circumstances may change during the year, the final decision to provide a food basket to an Employee Assistance recipient will be made by the Special Projects Committee.
The HACE Employee Assistance Committee will seek monetary donations from the College community on an annual basis in May. However, contributions to the Fund will be accepted throughout the year.
These guidelines will remain in effect as long as there are funds in the Employee Assistance Fund to use. When, or if, the original Fund is depleted, the Finance Committee will re-evaluate the Employee Assistance Fund to determine if it should be replenished.
