Using the list provided with these instructions, select the appropriate CRN and click the submit button.
- Note: All courses for which you are listed as an instructor will appear in the drop down box. You are only allowed to submit grades for those courses in which you are listed as the primary instructor.

Final Grade Worksheet
The Final Grade Worksheet for the CRN you selected will display. Using the pull-down box, select the appropriate letter grade for the student. You can also tab to the grade field and key in the letter grade. For instance, press the B key on your computer's keyboard once for B, twice for B+, three times for B-.Students who have withdrawn will have a W, in the grade field and the column entitled "Rolled" indicator will display a "Y". Once a grade has been rolled, it may not be changed on Banner Self Service. You must contact the Registrar's Office in order to change the grade.
- Important Note: For security reasons, your Banner Self Service session will terminate after 15 minutes of inactivity (i.e. if you have not clicked the submit button). Any information that you entered but did not submit will be lost. It is recommended that you click the submit button often to avoid the early termination of your Banner Self Service session.
Please enter only the grade earned by the student.
You should not enter any information in the columns titled "Last Attend Date" or "Attend Hours."
Graduating students are identified on the Final Grade Worksheet with a date in the "Last Attend Date" column. Students with a blank date in the "Last Attend Date" column are not graduating in the term selected.
Submit Grades
When you have entered grades in the record set displayed, click the submit button at the bottom of the page. The Final Grade Worksheet will re-display. At this time, you may wish to review and print the page for your records. Simply click on your browser's print button. If you need to make changes or corrections, do so and then re-click the submit button.
- Important Note: When submitting grades on the first record set (1-50), the following message may display: "THE CHANGES YOU MADE WERE SAVED SUCCESSFULLY." This message will NOT display on any additional record set(s) and may not display on subsequent entries in the first record set. However, your grades have been submitted. You may confirm this by leaving the course and returning to it from the faculty menu. The grades you entered will display if they were submitted successfully.
Please note that only 50 students display per page. For example, a class of 104 students will show the following links:
Record Sets: 1-50 | 51-100 | 100-104
To select the next page, please click on the link(s) located at either the top or the bottom of the page.
To select another CRN, use the CRN Selection link at the bottom of the page. After selecting the next CRN, you will be returned to the Faculty Services Menu and will need to click on Final Grades which will display the Final Grade Worksheet for the new CRN you selected. Repeat the steps above.
After you have submitted all grades that you wish to process, click Logout at the top right of the page to end your session. For security reasons, immediately close your browser. Congratulations! You have completed the Final Grade Entry process on Banner Self Service.
* If you are a faculty member who needs to post mid term grades for undergraduate students, you will follow the same directions, except you will select Midterm Grades instead of Final Grades. Grades
- A+ is only a valid grade for the Law School.
- If you have a student who appears on your Final Grade Worksheet, but who has not attended or stopped attending your class, s/he should be assigned a grade. It is the student’s responsibility to officially drop or withdraw from a course. If a student has not done this, it is appropriate to assign an "F."
- If you wish to assign a grade to a student who has attended your class, but who is not listed on the grade sheet, please provide a memo to the University Registrar’s Office. The student may need to petition the Dean of Student’s Office for a retroactive add.
- Withdrawals - approved withdrawals will appear on the Final Grade Worksheet as either a W for withdrawal, or a WM for Medical Withdrawal. You cannot enter a grade of W for a student. Please refer any questions about withdrawals for students to the University Registrar’s Office.
- Incompletes – a grade of incomplete should only be given to students who have not completed essential course work because of illness or extenuating circumstances.
- Please do NOT assign a grade of "I" to students who have received approval to take their exam late or with another section. As long as the exam will be taken during the exam period, leave the grade blank for these students and fill it in when the student completes the exam.
- A grade of "G" should be given for those continuing semester courses such as Honors, Thesis and Dissertation. A "G" should NOT be assigned to a student who stopped attending class.
- Audits - You MUST supply a grade for auditing students. A successful Audit is reported as "O." An unsuccessful audit is reported as "U."
Frequently Asked Questions:
- What is Banner Self Service?
Banner Self Service is the self service product used by students, faculty, staff and advisors. A secured web product, Banner Self Service retrieves and records data directly to and from the Banner database, based on the user's role in Banner. All information is live and in real time. Banner Self Service provides information in an easy-to-read format that is available from any computer connected to the Internet. We would appreciate any comments or feedback you have about your Banner Self Service experience. - Which browser do I use?
It is important that your Internet browser of choice be of a recent version. Internet Explorer works better than Netscape. We have found that older versions of Netscape (4.7 or lower) do not work well with Banner Self Service. If you have an older browser version, you can visit the IT web page and download a newer version. - Where do I go to get to Banner Self Service on the Internet?
Banner Self Service can be accessed directly through your myWM login by accessing my.WM.edu. If you use a dial-up or modem connection and have call-waiting on your telephone line, be sure to disable call-waiting when connecting so your Banner Self Service session is not interrupted. - What information do I need to log into myWM?
You will need your William and Mary user ID and password. Do not give your password to anyone else. University Policy prohibits access to the system by anyone other than the authorized user. - I've forgotten my Password or my account has become disabled. What do
I do?
If you have forgotten your password, you must contact the IT Help desk at 221-4357 (221-HELP) to have it reset. - Is there a time limit on Banner Self Service?
Yes. For your protection, if your Banner Self Service session has more than 5 minutes of inactivity, your session will be terminated. If you are submitting grades, you should submit often so that all grades you enter are saved. If you time out and have not submitted, the system will not "remember" the grades you entered. - What if I get lost or stuck in Banner Self Service?
If you are having trouble or need to exit Banner Self Service, always click on the EXIT button on the top right of the page. Any data that you entered on the page will be lost. - Who do I call for help?

Troubleshooting:
- Problem: I can't log into Banner Self Service.
Solution: Banner Self Service is always unavailable between 2 AM and 6:30 AM on Mondays so that system backups and maintenance can be performed. Please access Banner Self Service during another time.
. - Problem: I can't log into Banner Self Service I receive the message "Authorization
Failure".
Solution: You are using an incorrect user ID and/or Password. Your ID is your William and Mary e-mail user ID. Your PIN is your William and Mary e-mail password. - Problem: Final Grade Worksheet displays but I can't enter grades or the
drop down boxes do not appear.
Solution: Either the grades have already been rolled to the student's record or you are not listed as the primary instructor for that CRN. Check the Rolled column. If it displays "Y", you will need to change the grade(s) by obtaining a Grade Completion/Correction Form and submitting it to your school's dean. If you are not the primary instructor, you are not allowed to enter grades. - Problem: One of my students is not on the Final Grade Worksheet.
Solution: The student is not registered in the course. You may wish to contact the student. To register, an undergraduate student will need to petition the Committee on Academic Status through the Dean of Students Office. Graduate students should petition the appropriate Dean's office. - Problem: There is a student on the Final Grade Worksheet who never attended
the class.
Solution: In this case, you would assign a grade of F for failure due to excessive absences. It is the student's sole responsibility to drop the course if applicable.
If you have additional questions or need assistance, please contact
