Voice Mail

Access Voice Mail

Voice Mail is accessed on all phones either by:

  • Pushing the Voice Mail button
  • Pushing the "#" sign on the dial pad
  • Dialing 757-221-1000
  • Through Communicator

Set/Reset the Voice Mail Password on Your Phone

New Phone

  1. Obtain a temporary password from the Technology Support Center (TSC)
  2. Press Voice Mail button on your new ShoreTel phone.
  3. Enter the temporary password.  
  4. Follow the prompts to complete the setup.

Reset password with old password

  1. Press Voice Mail button on your new ShoreTel phone.
  2. Enter password and #
  3. Press 7 - Mailbox Options
  4. Press 4 - Set Password
  5. Enter new password and #

Don't remember your VoiceMail password?  Contact the Technology Support Center to have it reset.


Forward Messages to Your Email Inbox

Windows Communicator

  1. Login to Communicator or open Communicator
  2. Click Tools in the top-left of your screen
  3. Choose Options in the drop-down menu
  4. Choose Voice Mail on the left-side of the box
  5. In the Notification Delivery Option dropdown, choose Email .wav file
  6. Confirm the email address it will be delivered to.  (The default is your @wm.edu address, however, you may change it to a different address)
  7. Click OK

Mac Communicator

  1. Login to Communicator or open Communicator
  2. Click Comunicator in the top-left of your screen
  3. Choose Preferences
  4. Choose Voice Mail on the left-side of the box
  5. In the Notification Delivery Option dropdown, choose Email wav file
  6. Confirm the email address it will be delivered to.  (The default is your @wm.edu address, however, you may change it to a different address)
  7. Click Save

Download Messages

Windows Communicator

  1. Login to Communicator or open Communicator
  2. Click Windows in the top-left of your screen
  3. Choose Voice Mail in the drop-down menu
  4. Right click on the Voice Mail you wish to download
  5. Choose Export to .wav file
  6. Choose where to save it
  7. Click Save

Extended Absence

Leaving for a while?  Turn on an extended absence greeting.  Just follow these steps:

  1. Access your Voice Mail box
  2. Enter your Password and the press "#"
  3. Press 7 - Mailbox options
  4. Press 2 - Call Handling Mode
  5. Press 4 - Extended Absence
  6. Press 1 - Personal Greeting
  7. Record a greeting
  8. Press "#" and hang-up

When you return, remove the extended absence greeting.

  1. Access your Voice Mail box
  2. Enter your Password and the press "#"
  3. Press 7 - Mailbox Options
  4. Press 2 - Call Handling Mode
  5. Press 1 - Enable Standard Call Handling Mode
  6. Hang-up
