Departing Students

Are you leaving William & Mary? We are sad to see you go, but excited for the adventure that lies ahead of you. With this move comes a lot of questions about what happens next. While we don't know where your next steps may take you, we can tell you what will happen with your access to W&M Information Technology services after you leave the university.  

(This list applies to anyone who has recently departed W&M and alumni that graduated after 2007. If you graduated prior to 2007, contact the Technology Support Center for details).

Google Workspace Account

If you had a degree conferred from the university, you will continue to have access to your Google Workspace account for 16 months after Commencement. This applies to all Google Workspace services, such as email and Google Drive. 

  • Migrate your Gmail and Drive data to another Google account - (Gmail & Drive only). When starting the transfer process, it is helpful to login to the Google account that is receiving your files with an incognito window or a different browser. 
  • Download your account data - (All Google Services). This option is best for long term storage or to be used with another service. 

If you are leaving the university without a degree, you will have access to your Google Workspace account for eight months after your last class.

Banner

If you had a degree conferred from the university, you will be able to use Banner for 16 months after Commencement.

If you are leaving the university without a degree, will have access to Banner for eight months after your last class.

Blackboard

Blackboard will expire eight months after your last class at W&M.

Microsoft Office

You will be able to use the W&M licensed version of Microsoft Office for 16 months after Commencement. This includes Outlook and other Office productivity tools. 

Make sure you download a copy of your Outlook Emails & Contacts, OneDrive, SharePoint, or OneNote data prior to the license expiration.

Exporting & Importing Outlook Emails from Your Office 365 Account (Using Outlook desktop client for PC)

Configure Outlook (Windows) for Your Office 365 Account

  1. Open Outlook
  2. Enter your W&M email address in the email address field (example: wmgriffin@wm.edu)
  3. Enter your W&M password
  4. Deselect the option to "setup Outlook on mobile device"
  5. Click Done

  * It will take several minutes as it prepares for the first time use.

Configure Outlook to download all your emails

  1. Open Outlook
  2. Select Account Settings > Account Name and Sync Settings
  3. Move the slider to the right; over to All.  To download all emails.

   Do NOT save the pst file to a OneDrive location.  

Export Outlook Emails to PST file

  1. Open Outlook
  2. Select File > Open & Export > Select Import/Export
  3. Select Export to a file > Next
  4. Click Outlook Data file (pst) > Next
  5. Select your W&M Account name (example: wmgriffin@wm.edu) Top level of the folder structure
  6. Make sure Include subfolders check box is selected
  7. Click Next
  8. Select Browse to select the location to save the pst file and enter the file name. Click Ok
  9. Do not set a password on the pst file, leave the password field blank. Click Next
  10. Choose the desired options for duplicates
  11. Click Finish

Import Outlook PST file to Personal Email Account

  1. Connect personal email account to outlook - Gmail, iCloud, Yahoo, Outlook.com Instructions to setup personal Email account in Outlook.
  2. Open Outlook
  3. Select File > Open & Export > Import/Export
  4. Select Import from another program or file > Next
  5. Select Outlook Data File (.pst) > Next
  6. Browse to the pst file to import
  7. Choose the desired options for duplicates
  8. Click Next leaving the password blank
  9. Select include subfolders
  10. Select Import items into the current folder > Finish

Outlook starts importing the contents of your .pst file immediately. When the progress box disappears, the import is finished.

Sympa

Transfer your ownership of any Sympa Listserv List to the new owner:

  1. Log into lists.wm.edu
  2. In the left pane, displays all the lists you are subscribed to.  Any list with "Admin" beside of it, means you are an owner of that list. 
  3. Click on "Admin"
  4. Click Edit List Config
  5. Click List Definition
  6. Modify the owner by adding the new owner for that list
  7. Scroll to the bottom, click Update to save your changes

Zoom (Pro License)

Your access to William & Mary's Zoom Pro license will expire when you graduate or leave the university. Your account will automatically change to a basic/free account and is accessible as long as your W&M account stays active.
