IC Timeline

Time required to implement a change varies considerably. The following are estimates of the time it will take depending on what is involved in the change. Some actions can be completed concurrently, other actions must be completed consecutively.

W&M Academic & Administrative Operations

6 months from first action associated with change (e.g., accepting applications), for changes in:

  • Academic schedule
  • New financial model/contracts
  • Existing program, new credit model

By April 1st for changes to Course Catalog entries (published annually in August)

W&M Study Abroad

18-24 months from initiation of:

  • Faculty-led or sponsored programs to be offered yearly
  • New tuition exchange program proposals
W&M Board of Visitors

Tuition: in advance of April meeting/consult with Chief Financial Officer

Other approvals: see meeting schedule/consult with Provost

SACSCOC

Submit at least 6 months prior to implementation:

  • January 1 for 7/1-12/31 implementation
  • July 1 for 1/1 – 6/30 implementation

Advertising prior to approval must include a disclaimer.

SCHEV

Timeline for SCHEV varies. To ensure response, allow more time than the minimal suggested by SCHEV:

  • 60 days:
    • CIP code change
    • Degree designation change (add/delete)
    • Program name/title change
    • Organizational change above the departmental level made for purposes of internal management (e.g., re-naming an academic department)
    • Establish off-campus instructional site (supported entirely with private, local, or federal funds or tuition/fees from course offerings at the site)
  • 90 days:
    • Adding online delivery mode
    • Changing total credit hours for degree/certificate program
    • Significantly altering program curriculum
    • Changing licensure option in a degree program
    • Spin-off programs
    • Mergers
  • At least 60 days prior to Council meeting:
    • Organizational change at or above departmental level made for reasons other than simple internal management (e.g., establish new department, extension, center or institute if above departmental level)
    • Establish off-campus instructional site (supported with general fund or tuition/fees generated from courses at other locations)
  • 9 months:
    • New program

At least 3 months prior to implementation (filed AFTER receiving SACSCOC/SCHEV approval)

Department of Homeland Security (USDoHS)

At least 8 months prior to implementation (filed AFTER receiving SACSCOC/SCHEV approval)
