Recording Hours for Inclement Weather

The College was closed on Saturday January 30 and Sunday January 31, 2010 and opened at 10:00 a.m. on February 1, 2010 due to the weather conditions.  The following information provides instructions on how to record hours during the period the College was closed. 

Non-exempt classified/operational employee should submit Administrative Leave Taken for the total number of work hours that the college was closed and must reduce their regular hours.  For the partial closing on February 1, 2010 a non-exempt classified/operational employee who was scheduled to report to work at 7:00 am would submit three (3) hours of Administrative Leave and five (5) hours of regular pay. The amount of Administrative Leave will depend on the normal work schedule.

Non-exempt classified/operational employees who were required to work may receive either compensatory leave or straight-time pay for the hours worked during the period the College was closed with the approval of their dean, director or department head.  Hours worked should be recorded either as "additional hours worked (leave)" for compensatory leave or "additional hours worked (pay)" for straight-time pay.  All hours worked during the workweek, including hours worked during the period the College was closed, will be counted for purposes of determining if overtime pay is warranted for non-exempt employees. 

Exempt classified/operational employees who were required to work will receive compensatory leave for the hours worked during the time the College was closed with the approval of their dean, director or department head.  Hours worked should be recorded either as "additional hours worked (leave)" for compensatory leave.

Employees designated as essential who did not report and did not have pre-approved leave, are not eligible for the administrative leave and must submit leave for the entire work period. 

Employees must have either worked or been on paid leave the day before and the day after the authorized closing to be eligible to be paid for the closing. Employees who were on pre-approved leave with pay for the authorized closing will not have the time charged to their personal leave balances.
