Request a space through W&M's Event Management System

Moving forward, Washington Center public spaces will be reserved through the College's Event Management System (EMS). This system is available for all current on-campus departments, programs, and groups.

Policy for Booking

Washington Center public spaces will be reserved in 6-month periods. On-campus departments, programs, and groups will be given a one-month priority window to reserve space. Event spaces will be booked along the following calendar:

Bookings for July 1-December 31, 2017

Priority Campus Booking: June 1-30, 2017 - Confirmations issued within one week of request. Priority in conflicts goes to earlier requests.
After July 1 - Bookings confirmed on a first come, first served basis.

Bookings for January 1-June 30, 2018

Priority Campus Booking: October 1-31, 2017 - Confirmations issued within one week of request. Priority in conflicts goes to earlier requests.
After November 1 - Bookings confirmed on a first come, first served basis.

Bookings for July 1-December 31, 2018

Priority Campus Booking: April 1-30, 2017 - Confirmations issued within one week of request. Priority in conflicts goes to earlier requests.
After May 1 - Bookings confirmed on a first come, first served basis.

After Booking

Upon completing the EMS booking process, one of our staff will be in touch with you about your event. We will forward you a second Event Request Form to gather detailed information to help us plan for your event. Your event will not be considered confirmed in our space until you have submitted this form. 

Event Holds

Departments will be unable to hold multiple dates for a singular event at any time. Event dates must be finalized before submitted into EMS.

Extenuating Circumstances (Bumped Event)

If, under rare circumstances, an event is bumped, the W&M Washington Center Event Staff will promptly notify the bumped party and work quickly to secure alternative event space in the Carnegie Endowment for International Peace Building or another local event venue free of charge.
