Guest General Information

Welcome to The College of William and Mary summer conference programs!  Whether this will be your first experience for dormitory living or a return after many years away, we hope to make this a pleasant experience.  The information provided below will help you prepare for your visit.

Upon arrival, you will find additional information about dining, emergency procedures, and medical services in your room.  Our conference center will also be open from 8:00 a.m. to 7:00 p.m. daily during your stay and staff will be available to assist with questions.  An on-call assistant will also be available after hours to handle emergency calls.

To prepare for your College-life adventure, please read the following and feel free to visit our website (www.wm.edu/conferenceservices) for additional information and directions to the various dorms and buildings on campus.

Dorm Rooms:  Dorm rooms typically include a twin-size bed (some may be bunked), desk, chair, and dresser.  Dorm rooms are typically double occupancy and have shared hall bathrooms.  A few of the dorms are suite-style, where two bedrooms share a bathroom.  Ludwell apartments are one- and two-bedroom apartments, with kitchen, living room, and full bathroom.  Remember since students use these rooms, they remove all of their personal belongings when they depart.  As such, there are no kitchen utensils, television, or other personal amenities or electronics provided in the dorm rooms.

Telephones are provided in each room (unless removed as requested by group leader).  All local calls are at no charge.  Long distance calls require calling or credit cards.  Voicemail is not provided unless the group leader has made special arrangements.

Linens and amenities are only provided if elected by the group leader.  If these are provided, you will receive:  sheets, pillowcase, blanket or bedspread, pillow with slipcover, towels, washcloths, soap, and a cup.

Housekeeping:  Housekeepers are not allowed to enter occupied rooms or apartments.  Guests are expected to make their own beds and dispose of trash as needed in the central receptacles provided on each floor or the dumpster located next to the residence hall.  Housekeeping will be provided in the common areas (hall baths and common lounges) only.

Laundry Machines:  Coin-operated laundry machines are available in each housing complex.  There are no change machines available.

Lounges, Kitchen Facilities, and Vending Machines:  Available in most dormitories; however, kitchen utensils and dishes are not provided.

Maintenance:  All maintenance concerns must be reported to the conference center staff, who will submit requests to the maintenance staff.  Hours of operation for maintenance staff are from 7:30 a.m. to 4:30 p.m., however, emergencies will be addressed after hours.  If space permits, guests may be moved to another room pending resolution of maintenance problems.

Parking:  Parking permits are required for all conference guests’ vehicles and will be available at the time of check-in.  They are good for the duration of the conference.  Parking is permitted in resident and day student lots only.  Guests must follow the College’s parking regulations and failure to do so may result in ticketing by the parking office.

Smoking:  The College of William and Mary facilities are smoke-free.

Theft / Security:  The College is not be responsible for lost or stolen belongings.  Guests are encouraged to leave valuable personal items at home.  Youth guests are encouraged to deposit their cash in the “camp bank,” if available.  The conference center will hold all lost/found items for 14-days.  After this time, items will be discarded or donated to a local charity.
